Part Time Medical Receptionist/Admin Support

12- month contract with possibility of extension/permanent- (22.5-30 hours per week)

This position will be at our Kitchener site


  • Performs reception duties, including responding to telephone calls, visitors, staff
  • Redirects calls or provides routine information requiring a detailed knowledge of the organization’s functions
  • Shares relevant information with other team members
  • Obtains medical records when required
  • Books appointments and managing the daily schedule for all clinical staff through
  • Manages specialist referrals, which includes booking appointments and communicating appointments to clients
  • Manages incoming faxes and outgoing faxes, emails, referrals, prescription, and other medical forms/documents
  • Manages all program referrals for the clinical staff which includes scheduling appointments, triaging referrals, communicating appointments to clients, and coordinating schedules to accommodate appointment vacancies or urgent referrals
  • Creates documents, letterhead, templates, and letters as required
  • Scans incoming documents
  • Photocopies and distributes materials and handling incoming and outgoing mail and faxes
  • Arranges for courier as required
  • Assesses workflow and provide feedback and make recommendations to the Administrative Lead
  • Protects general public and staff from potential infectious disease by enforcing policy in public areas of clinic
  • Appropriately engages difficult clients and notifies the Administrative Lead other appropriate staff.
  • Organize and file new patient intakes and book as per Intake Policy
  • Must be able to travel to alternate sites when required
  • Maintaining appropriate inventory of office and clinical supplies and ordering when necessary



  • A diploma or certificate in Administration/Medical Administration
  • Minimum 2 years of work experience as a medical receptionist, preferably in primary care
  • Excellent customer service skills
  • Prior experience with and knowledge of electronic medical record for scheduling and booking clients- Practice Solutions preferred
  • Excellent information technology skill including a working knowledge of Windows, Microsoft Office 365 Programs (Excel, Word, Outlook and PowerPoint)
  • Excellent written and verbal communication skills
  • Excellent interpersonal skills
  • Ability to maintain information in confidence and respect sensitive information
  • Ability to work with a team, work independently and work within a community practice setting
  • Ability to effectively manage challenging interactions
  • Ability to welcome change and manage it innovatively
  • Desire and ability to update knowledge and skills through various means including technology-based opportunities, courses, workshops, and conferences
  • Understanding of medical language and triage
  • Understanding of infection control
  • Ability to deal with multiple requests, calls and prioritize work
  • High degree of accuracy and attention to detail
  • Proven participatory work style including ability to work independently and with a team
  • Second language an asset
